Grant Recipient Communications Guidelines

 

Your grant has been made possible by generous donors who have established and contributed to the Wyoming Women's Foundation (WyWF). By publicizing your grant, you recognize these donors for their generosity while also encouraging other prospective donors to contribute to the WYWF.

 

How does it benefit your organization to publicize your grant from the WYWF?

  • You receive positive attention for the important work you are doing.

  • WyWF and its donors are recognized, raising awareness of the value of giving to a women and girls fund.

  • Identifying WyWF as a source of support lends credibility to your efforts.

  • Other nonprofits learn about WyWF’s grant programs.

The WyWF publicizes its grants through media relations and profiles in our publications. We expect grantees to acknowledge grants in their own communications efforts. You are most familiar with the exciting programs, events and results you have achieved. Often, the media is more interested in hearing directly from a nonprofit organization and the people it benefits.

 

WYWF Responsibilities:

  • Distribute a listing of grant recipients through a statewide press release.

  • Highlight interesting grant stories through our newsletter and the Wyoming Community Foundation annual report.

  • Provide advice and feedback on your publicity efforts for your grant.

  • Review news releases or other material, at your request.

  • At your request and when possible, send a WyWF representative to grant-related events.

 

Grant Recipient Responsibilities:

  • Submit a news release to your local newspaper(s) announcing your grant. More information and a template are included in this packet.

  • Be sure that your internal audiences – staff, board members, volunteers, donors, clients – are aware of the grant through meetings, minutes, announcements, etc.

 

More ideas (not required):

  • Include news of your WyWF grant in publications you produce for external distribution, such as newsletters, annual reports, lists of supporters, etc.

  • Print a funding credit in materials related to your grant project, such as flyers, programs, posters, advertisements, etc., including signs or plaques that recognize donors at events or on buildings. If you would like to use the WyWF logo, please contact the WyWF Office.

  • You can also distribute your news release to local radio, TV stations, and publications in your field.

  • If you have a website, post the news release on it.

  • Invite the local media to a grant-related event. Arrange for a photo opportunity.

 

Acknowledging Your Grant

It is important to use the correct language when acknowledging a grant through a news release or some other format.      

              This project was funded (or funded in part) by a grant from the Wyoming Women's Foundation a fund of the Wyoming Community Foundation.

Wyoming Women’s Foundation Description

If you need a further description of the WyWF, please use the following:  The Wyoming Women's Foundation is the leading funder of change for women and girls in our state.  We do this by raising funds, making grants, advocating for change, and providing leadership to support economic self sufficiency and access to opportunities for women and girls in Wyoming.

 

The following suggestions will help you write and distribute a news release:

  1. All releases should be typed, double-spaced, on your organization’s letterhead.

  2. Place “For Immediate Release”, the date, and the name and daytime phone number of a contact person at the top. Also include your website and e-mail address if you have one.

  3. A short but clear and concise headline should give the editor instant information about the content of the Press Release.

  4. Use our full name, “The Wyoming Women’s Foundation” when it first appears in the release. You can use “WyWF” from that point forward.

  5. News releases should be written simply, in “pyramid style” that is, with the most important information first and working down from there. A summary “lead” paragraph should explain the who, what, when, where and why of your news. Limit your first paragraph to three or four lines.

  6. Use simple declarative sentences. Keep paragraphs short.

  7. Use 12 point typeface, no fancy fonts.

  8. Press Releases should be short: 1 to 1 ½ pages. Some papers will print longer releases if they deem the story important, but rule of thumb says that the shorter the release, the more apt it is to get printed. If you want to submit more information, send a fact sheet or other BRIEF background.

  9. Your news release should be free of factual and typographical errors; have another person help you proofread it before sending.

  10. If there are two pages to your news release, use the notation "- more -" at the bottom of the first page.

  11. End the Press Release with a paragraph describing the Wyoming Women’s Foundation. Use the text that appears in the sample release that is attached.

  12. Use the notation "# # #" after the last paragraph of the news release to let the editor know that it is the end of the release.

  13. Fax, e-mail or mail your news release to your local newspaper. It may take several days before it will appear. Many times they edit the release for the space that is available.

  14. If you have a good quality digital photo that appropriately represents the grant project or program, your local newspaper may print it along with your news release.

 

Submitting Materials

We encourage you to send us copies of publications or media coverage that mention your grant. You may also submit good quality digital photographs – one or two images that best show your grant project, plus a brief description – that could be used for the Foundation’s newsletter or annual report, if we choose to profile your project. Please remember to always obtain a photo release from anyone that appears in the photographs. The only exception to this is if the picture is from a public event.
